Business Office

Our services

You can contact the Business Office with questions about learner accounts, tuition charges, and refunds.

Learner accounts

The Business Office posts all receipts daily; therefore learner accounts are current as of the previous day's activity. Financial aid is added to the accounts when the award is received from the Financial Aid Office, or when a disbursement of Stafford loans from banks or guarantee agencies is received.

You can e-mail the Business Office, or call us at (800) 486-3116. In order to properly identify callers and maintain the confidentiality of the learner financial records, learners must have their learner identification number ready when they call.

Statements

Learner account statements are printed monthly after the activity of the 15th of each month has been posted. Review and mailing of statements takes approximately three days.

Learner statements include recent activity (cash receipts, tuition charges, financial aid, loans, refunds, scholarships, and tuition reversals for dropped courses) through the date noted. A four line message serves to inform the learner about current or upcoming events that affect his/her account. It is important for the learner to review this monthly statement for correctness and completeness every month, and to contact the Business Office immediately with questions or problems.

Excess funds on learner accounts are indicated in the balance with a "cr" for the credit amount. This indicates that the current semester tuition is paid in full and the learner is eligible for a refund of the credit amount.

Balance due amounts are indicated with a red "Past Due" stamp. The stamp indicates that payment (by check, credit card, or financial aid) has not been received by the Business Office.

Please take note: 

  • The statement is a record of a learner's current status. Learners should utilize the statement to ensure that their accounts are up-to-date.
  • Learners should not assume that future financial aid will clear their accounts. Some learners may have a missing document missing preventing the award of aid. Learners can disqualify themselves for aid by waiting too long in a semester.
    Union Institute & University faculty or staff should not advise learners to disregard a past due balance.

Tuition

  • Tuition is due on the first day of each semester unless the learner has chosen the deferred payment plan during registration.
  • Tuition is posted to accounts at the beginning of each semester for graduate and undergraduate learners and immediately after the Entry Colloquium for new graduate learners.
  • Learners in semester credit hour programs should check the tuition amount by multiplying the current hourly rate by the number of hours registered.
  • Accounts are adjusted for Add/Drop upon notification of changes by the Registrar.
  • Tuition is adjusted for graduation and withdrawal when the tuition cutoff date is determined from the academic records.

Financial Aid

The Business Office is only able to provide information about financial aid that has been released or awarded by the Financial Aid Office. The Business Office does not have access to future grant and loan disbursement amounts or dates. Learners must contact the Financial Aid Office for that information.

Recipients of financial aid will receive three documents from the Financial Aid Office. The first, an award letter, indicates the amount of the award. The second document estimates the loan disbursement amounts and dates of distribution. The third document is a disclosure notice from the bank.

Electronic funds transfers (EFT) for Stafford loans are posted and the net disbursement is applied to learner accounts upon receipt of a roster from the learner's bank. Rosters are received electronically on Mondays and Thursdays. This procedure saves time in receiving loan funds.

Student loan checks (paper) are co-payable to the learner and Union Institute & University and are mailed to the learner's home address for endorsement.

When an account has not been paid in full, the student loan checks will have already been endorsed with Union Institute & University deposit stamp on the back of the check. Learners must endorse and return these checks to Union Institute & University Business Office for deposit to the learner's account.

If a learner's account is already paid in full, the Business Office will place Union Institute & University's endorsement on the check, which will allow the learner to deposit the endorsed check into his/her bank account.

Credit cards, charges, and credit balances

Union Institute & University accepts VISA, MasterCard, American Express and DISCOVER. A copy of Union Institute & University's credit card authorization is posted in the forms section.

Cards can be processed once per semester for the whole amount of tuition, or monthly for one-fourth of the semester tuition when the deferred payment option has been selected. If a credit card is rejected, the learner will be contacted immediately to solve the problem. It is the responsibility of the learner to provide accurate information on the authorization form.

The amount can be paid by credit card (if the learner has signed a credit card authorization form to pay tuition). The statement should be checked for the type of card, the date, and the amount charged.

Note: Learners must notify the Business Office to change the credit card authorization when status changes, e.g., interim, graduation, withdrawal, or the learner pays by check or with financial aid. The signed authorization form will be honored until it expires or the Business Office is notified of a change.

Other charges to learner accounts

Other Union Institute & University charges to the learner account (e.g., prior assessment fees, regalia, microfilming and binding), may be charged to the learner's account if there is a credit balance sufficient to pay the charge(s).

Credit balances on learner accounts

Learners may request that the Business Office maintain a credit balance of excess Federal Title IV funds on their accounts to pay future charges. Learners select the "Hold Credit Balance" block on a registration form or submit this request in writing to the Business Office. Learners are required to authorize holding excess Title IV funds only once during their tenure with Union Institute & University.

Note: Union Institute & University will refund credit balances or a desired portion upon the request of a learner, even in the event that the university has been authorized to hold excess funds.
